What data we need and why
When you make an enquiry, we process your name, email address, service location and message. If you provide them, we also process your telephone number, company or property name. Your service brief may include the property type, services, floor area, frequency and preferred date. The form also sends the language of the message.
We need this information to reply, clarify the scope and prepare a quote. Required fields are marked with an asterisk. Without the necessary contact details, we cannot respond to an enquiry submitted through the form. Submitting it is neither an order nor consent to advertising messages.
When working with you, we also process contractual, invoicing and payment details and related correspondence, including complaints. To keep the website secure, our hosting and form providers may process IP addresses and technical request logs. Please do not enter sensitive information about patients, guests or other people in the form.
Our legal grounds for using data
We do not use data from the website form for automated individual decision-making that has legal or similarly significant effects. The website does not use advertising profiling.
- An individual's enquiry and performance of their contract: taking steps at their request before entering into a contract and performing the contract under Article 6(1)(b) GDPR.
- Communication with a company's contact person, operational security and the protection of legal claims: our legitimate interests in business communication and protecting our services and rights under Article 6(1)(f) GDPR. You may object to this processing.
- Accounting, tax and other legal obligations: Article 6(1)(c) GDPR.
How long we keep data
We keep enquiries for as long as needed to deal with them and any follow-up discussions. We regularly delete correspondence that is no longer needed. Longer retention must have a specific reason, such as an ongoing business relationship, a legal obligation or the protection of a legal claim. We retain records relating to claims for the relevant limitation periods and any proceedings.
We retain contractual and accounting documents for the applicable statutory retention periods. These differ by document type and are not the same as the retention period for an ordinary enquiry.
Web3Forms states in its terms that submissions are retained for no more than three years from submission, unless the plan or earlier deletion provides for a shorter period. To request deletion of enquiry data, including checking with the processor, please use our contact email. Technical logs are retained for as long as necessary for operation, security and the resolution of specific incidents.
Who is involved in processing
The website is hosted by Vercel. The form sends your message via Web3Forms (Web3Creative) to our company email inbox. These services may use their own infrastructure, delivery and spam prevention suppliers. Our email provider and any IT administrators process correspondence within the scope of their services.
When carrying out a job, our staff, contracted subcontractors, accountants, tax advisers and legal advisers may receive necessary data. We disclose data to public authorities where required by law.
Vercel and Web3Forms use international infrastructure. Web3Forms states that it operates from India. We therefore cannot promise that processing takes place exclusively within the EU/EEA. Their data processing terms describe safeguards for international transfers, including the European Commission's standard contractual clauses. For information about the relevant safeguards and how to obtain a copy, please contact us at the email address above.
